Yes, we go to work to get paid, and behind those figures on that piece of paper, is the payroll technician; who makes sure that employees get paid the right amount at the right time.</p>
<p>Payroll administration can be performed in-house, using specialist software or sometimes the work involved is outsourced to a company providing payroll services. Payroll administrators handle large<br />
quantities of money on a daily basis and are required to make calculations and process payments within strict deadlines. It can be a challenging and demanding role but delivering accurate and regular pay packets to employees can be fulfilling too.</p>
<p>Role &amp; Responsibilities</p>
<ul>
<li>Check hours on employee timesheets.</li>
<li>Calculate accurate wages, including any bonuses, salary increases or overtime.</li>
<li>Calculate any PAYE, PRSI deductions and pension contributions &#8211; along with new levies.</li>
<li>Calculate statutory payments, such as maternity, paternity and sick leave.</li>
<li>Calculate and process accurate payments to employees by cash, cheque or electronic</li>
<li>Transfer, ensuring strict deadlines are met.</li>
<li>Issue relevant tax forms.</li>
<li>Process new documentation for starters and leavers.</li>
<li>Handle and respond to discrepancies and queries relating to payroll.</li>
<li>Provide assistance to Human Resources team if required.</li>
<li>Filing, photocopying and updating databases should be expected.</li>
</ul>
<p>A numerical ability is a pre-requisite for this type of role. Some companies will look for both experience and a payroll qualification. Basic computer skills will also be required and the ability to work with the payroll package in use by the company. A payroll technician must be extremely organised, logical and methodical. Mistakes with wages will never go unnoticed or forgotten. The ability to stay calm is also important when mistakes or miscalculations are made. An in-depth knowledge of tax systems is required. Anyone working in payroll must make themselves knowledgeable to changes in legislation related to taxing. As we all know, various new levies have become synonymous with the recessionary pay world. Payroll Technicians must also adhere to confidentiality and work in a discretionary manner.</p>
<p>Payroll Administrators can work in a large, small, public or private sector organisation. Employment opportunities are also available within specialist companies providing payroll services.</p>
<p>A typical day as a Payroll Technician will involve:</p>
<ul>
<li>Following up and checking timesheets on a weekly basis to ensure that they meet the strict deadlines to process wages.</li>
<li>Making themselves aware of any changing rates and fees relating to the different employees.</li>
<li>In addition to these payroll duties, there is also responsible for invoicing clients (if relevant to the business) and updating the accounts spreadsheet with weekly and monthly figures.</li>
<li>Other than working with numbers, they are constantly dealing with people and their pay-related enquiries, so strong communication skills are essential.</li>
<li>Dealing with large quantities of money on a daily basis.</li>
<li>Dealing with discrepancies on timesheets and miscalculations.</li>
<li>Using problem solving skills.</li>
</ul>
<p>After gaining experience and qualifications as a Payroll Administrator/Technician, you might have the opportunity to progress into a supervisory or managerial role. Some people also move from Payroll into Human Resources.</p>
<p>If you wish to move into this career area, it is highly recommended to become certified to work as a Payroll Technician. The Irish Payroll Association run such courses in locations throughout the country. The Irish Payroll Association (IPASS) payroll qualifications: the Certified Payroll Technician and the IPASS Diploma in Payroll Management are both HETAC accredited.</p>
<p>Their Certified Payroll Technician (CPT) qualification provides Payroll personnel with a nationally recognised qualification by which they can be evaluated. The syllabus for this IPASS qualification was prepared following consultation with Payroll professionals in industry, commerce, and in the public sector and it reflects the diverse range of skills and knowledge which all payroll professionals require in order to function efficiently.</p>
<p>Working in payroll can be very satisfying, yet up recently, payroll received very little recognition partly because no formal qualifications were available in the subject. However, there is a growing awareness amongst employers of the critical function which an efficient payroll operation pays in the smooth running of any business. Yet amazingly, very few payroll personnel have any specific payroll qualifications.</p>
<p>Working in payroll today means: being proficient in the operation of Employment Law, Taxation and Social Welfare legislation, in addition to being computer literate, and having excellent interpersonal<br />
skills. It also means being able to work to strict deadlines (employees like to be paid on pay day) and being able to advise employees and to answer their queries in relation to their earnings, entitlements and deductions. It is not surprising therefore that the leading payroll qualification in Ireland, the Certified Payroll Technician qualification is the first requirement of most employers when recruiting payroll personnel.</p>

This momentary excitement is often quickly replaced with anxiety or fear. However, it is important to remind yourself that the employer you applied to is interested in you enough that they have called you for an interview; you have any number of things they want. All you have to do is prove to them that there is no other job applicant like you (and we don’t mean in terms of nerves!).</p>
<p>Your preparation starts with research. Ensure you know enough about your potential new employer. After all why would anybody employ somebody who is apathetic about their business/company? Your obvious starting point will be the World Wide Web and a good place to begin is with the interviewer’s own website. It will become apparent to an interviewer how much time you ‘the interviewee’ spent on preparing for the interview and this gives the necessary tell-tale signs to them as to how much you want this job. Beyond the internet – look at their competitors (if relevant); speak to current employees, or people in similar position to the position you have applied for. This demonstrates both initiative and also your actual determination in being successful in this interview.</p>
<p>Re-read the job description and underline key words to ensure you can reflect these back in the interview and make sure you have the key skills to match the job requirements. Jot down your noticeable strengths and where they relate to the requirements for this position. There is no point in simply listing skills and strengths – can you give real life examples of these in action? If you have no examples; is it possible to create some before your interview date?</p>
<p>Your next stop will be to go through the cover letter you sent along with your Curriculum Vitae. At this stage you should be able to go through your work experiences to date without the aid of your CV in an interview setting. If you are asked to talk through your CV; can you do so chronologically? Predict potential awkward questions – such as, why you left your past employer or why there is a gap in your work experience to date?</p>
<p>Preparation for your interview is essential and part of the preparation process will be to PRACTICE! Some people have to approach their interview like playing out a role; a role that is representative of someone confident, calm and self-assured of their ability to succeed in this advertised role. When nerves take over, it is often a case of having to fake an air of confidence. However, the more we practice, the more relaxed we will feel on the actual interview date.</p>
<p>The next step in the preparation stage is to write down possible questions. Use both the job description and your CV to do this. Be mindful of how you will respond to certain questions. What questions make you hesitate and what questions cause you to look down when answering. In being mindful of our physiological and tone reactions, we can avoid obvious uncomfortableness with certain questions on the day. It is a good idea to get a reliable friend to interview your or even better to acquire the services of a professional body who specialise in interview techniques and preparation.</p>
<p>Kilroys College run a Distance Learning in Interview Techniques. This is an extremely practical course which offers participants advice on job applications and on how best to prepare for the interview. You will complete study units, have written assignments, along with the personal guidance of your own private tutor. In devising such a course, Kilroy’s identified that job applicants with the required qualifications often fail at the interview sage. Many do not know what is required of them by employers, nor do they successfully project their full potential in terms of their personality, skills. Experience and talents.</p>

During this seminar, you will learn key skills to ensure you get the best out of the job interview. It will also address issues like: how to keep calm under pressure and how to maximise your chances of being offered the job.</p>
<p>When it comes to the day of your interview; remember your job is to live up to the expectation the employer has of you from your CV and to ensure you stand out from other interviewees. Ensure you are dressed appropriately in a suit that you feel good in. We will not exude confidence in ourselves if we believe we don’t look good. Also, ensure you give yourself plenty of time to get there and if necessary go there the day before to ensure you know where you are going and how to get there. This eliminates panic at being lost or being late!</p>
<p>This is the time you make yourself memorable for all the right reasons. This is where your practice and planning will pay off. Nerves are fine as long as you manage them. When you go into the interview room; be mindful of your eye contact and even your hand shake – firm but not forceful – definitely not weak! Put your lower back right into the back off the chair and place your both feet on the ground; this grounds you and ensures your posture is upright. Become mindful of where you are and the questions posed to you. Keep your answers on track by keeping the question in mind and do not be afraid to ask for the question to be repeated again. Watch your tone; ensure that it is upbeat (not overtly so) but definitely not a tone that lacks interest. Don’t forget to smile – when appropriate. Ensure that your language uses words that are energetic and positive. Never speak in the negative and never interrupt the interviewer. Certainly a ‘NO-NO’ is criticising former employers and it is also not a good idea to discuss the subject of money at this stage in the process.</p>
<p>There are two questions that interviewees always seem to struggle with in an interview situation: The first one is: Have you any questions for us? and the second one is: Can you tell us about your weaknesses? In the case of the first one, always have a question ready and in the case of the second one, it is a good idea to pick a weakness that you have worked on and had some success with fixing.</p>
<p>When the interview is over, there is no point ruminating on any mistakes you may have made. Rather, reflect on what worked and what didn’t. After all it is ok to make mistakes but it is not ok not to learn from them.</p>

Maria Lalor, MD of Pitman Training Swords describes how a recent survey showed that over 77% of Pitman Training Diploma Graduates seeking employment found work within six months compared to the national average of nine months.</p>
<p>According to Maria, their range of job-focused training programmes quickly delivers skills that can help those who need to find work – reducing the time it takes to find a new job.</p>
<p>So what is the secret? During the Celtic Tiger years the job specification was quite loose. You had to be hard working, good with people, have a pleasant phone manner, be organized and motivated. At the interview it was acceptable to say you had a good knowledge of Microsoft Office or you learnt quickly. Now it is very skills oriented. You must be have a typing speed of at least 55 words per minute, Advanced Word and Excel skills, experience in preparing PowerPoint presentations, excellent audio typing skills, diary management and some knowledge of accounts.  If you wish to work in the healthcare sector as a Medical Secretary you will in addition be expected to have a thorough grounding in the correct construction, spelling and usage of medical terminology.</p>
<p>Pitman Training Swords graduates have these skills to a high level and more importantly they are up to date and they have certification which tells the employer how good they really are. In other words they are able to contribute to the company’s success from day one.</p>
<p>In addition they also have people training with them who are in employment but who want to increase their efficiency or are going for promotion. For example people who work in accounts but want to use Sage or Excel more effectively, or an administrator who needs to update their Microsoft skills such as Word or Outlook.</p>

Keeping up to date  and ongoing learning is vital.</p>
<p>Payroll training is covered with a  wide range of courses covering all Payroll related topics, from the  Basic Principles of Payroll (understanding PAYE, PRSI and the Income  Levy) to the more advanced details of Management of Payroll (Policies  and Legislation) and also the application of &#8216;Benefit In Kind&#8217; (non cash  benefits). This course is available through a mixture of home based and  classroom based learning. The classroom course is currenly available in  a number of locations throughout the country including Dublin, Athlone,  Cork, Limerick &amp; Waterford.</p>
<p><em><strong>Certified VAT Technician</strong></em><br />
Value  Added Tax (VAT) is the single largest tax liability which most  companies incur and the single largest source of tax recoveries on  Revenue audits. Yet the people responsible for the management and  administration of their company’s VAT liabilities often have to do so  with the benefit of minimal VAT training.<br />
The course assumes no prior  knowledge of VAT on the part of students and it introduces them in a  logical and progressive manner to the VAT implications and treatment of a  huge range of business transactions.<br />
